We are seeking a Program area-level Administrator to help us manage day-to-day internal obligations. You will join a hardworking team of engineers, scientists, and program managers and perform routine independently on all routine administrative matters for the most significant Department of Defense (DoD) Space challenges we face today. As a Program Area Administrator, your primary responsibility will be to provide administrative and operational support.

In addition, you will...

  • Manage the Program Area Manager’s (and Project Manager’s, if applicable) calendar, independently resolving conflicts when possible and increasing the efficiency and flow of their schedules.
  • Coordinate sponsor and partner visits by handling meeting logistics (e.g., agendas, conference rooms, parking, security and badging, food, shuttles, etc.).
  • Coordinate external visits to sponsors by sending clearances for travel and validation.
  • Interface and provide liaison with the government sponsors and other external representatives, APL management, and other APL staff.
  • Plan and prepare for program, events, to include recurring meetings, off-sites, morale events, accounting for all supplies, resources, and refreshments.
  • Track program updates and assist with meetings summarizing updates.
  • On occasion, provide backup support to other Program administrators during absences.
  • Prepare draft documentation and correspondence. Review, edit, and process memos, reports, and presentations, ensuring editorial excellence, reference management, organized archival and review for public release, and security procedures. Reproduce, route, and distribute to appropriate recipients.
  • Assist the program with annual inventory of property.
  • Provide and facilitate a positive and a pleasant team environment within the Program.

Qualifications

You meet our minimum qualifications for the job if you...

  • Have 5+ years of administrative experience, performing a wide range of functions or 3 years of responsibility with an Associate’s degree and exceptional accomplishments in administration.
  • Have excellent organization, tact, diplomacy, time-management, communication (verbal and written), and interpersonal skills; an ability to interface effectively with all levels and representatives of external organizations with a professional demeanor.
  • Have strong motivation to effectively meet organizational needs and proactively seek out opportunities for additional tasking.
  • Have strong dedication to detail, follow-up, and follow-through.
  • Possess strong proofreading/editing and file management skills.
  • Have ability to handle sensitive information and organizational data with a high degree of professional maturity and confidentiality.
  • Are skilled in MS Office, including MS Excel, Word, and
  • Have hands-on experience in arranging large, complex meetings and conferences with external visitors.
  • Are able to obtain an interim Top Secret-level security by your start date. If selected, you will be subject to a government security clearance investigation and must meet the requirements for access to classified information. Eligibility requirements include U.S. citizenship.

You'll go above and beyond our minimum requirements, if you:

 

  • Have a Bachelor’s degree in Business, Economics, or other related field.
  • 10+ years of administrative experience in DoD program support, including administrative support to Program and Program Area Managers.
  • Have experience in Space Exploration and/or APL policies, practices, and procedures, including but not limited to travel, purchasing, security, and property administration.
  • Have extensive experience with government sponsors.
