Research Program Assisant II

Job Description

The Department of Pediatrics is seeking a full time Research Program Assistant II for the Allergy, Immunology & Rheumatology Division. Under general supervision, the successful candidate will support departmental research programs and/or clinical trials by handling study data collections and organization. Duties encompass, but are not limited to, sample collection and coordination, patient recruitment, obtaining consent both in person and electronically, scheduling patients, collecting, and entering data, organizing collected information, and managing study records. Responsibilities include, but are not limited to, recruiting and coordinating activities for a research study.


Specific Duties & Responsibilities


Sample Collection and Management (10%)

  • Ensure that samples collected during participant visits in the Research Unit are properly collected, labelled, and delivered to the Allergy Research Lab.
  • Coordinate with participants to collect their samples from the Fetal Medicine Unit at Howard County General and ensure timely transport to the Allergy Research Lab at the Johns Hopkins Hospital.


Recruitment (5%)

  • Participate in the study participant prescreening process.
  • Communicate study-related information to interested research participants.
  • Obtain research participant consents in person or electronically via DocuSign.
  • Participate in informational video calls with potential participants to help them learn about the study details, responsibilities, and scope.


Study Visits (35%)

  • Work with the clinical staff to collect research samples including urine, nasal swabs, hair, skin swabs, skin tapes and TEWL measurements during direct contact visits with participants.
  • Prepare and maintain skin prick test trays according to best clinical practices.
  • Coordinate with participants to schedule in person research visits.
  • Schedule these visits in EPIC, ICTR, and provider schedules.
  • Ensure that research participant documents are prepared in a timely manner, organized and maintained.
  • Coordinate and schedule off-site home sample drop off appointments.
  • Send study participants reminder calls/emails for home sample collections, scheduled visits, and survey completion.
  • Prepare sample collection kits, and restock supplies needed for home, child, maternal, and paternal sample collection as needed (coordinating with numerous departments).
  • Coordinate with team members under time constraints to conduct newborn visits, collect meconium, and pick up cord blood samples at Howard County General Hospital.


Documentation management (20%)

  • Submit participant reimbursements for completed study visits, surveys, and home samples.
  • Manage and organize reimbursements within study records.
  • Obtain signatures on essential documents for research charts and regulatory binders. Maintain regulatory and essential document for monitoring visits.
  • Collect and organize the sample tracking documentation.
  • Regularly go through and update the participant tracker to ensure all samples, visits, consents, compensations, etc. are accounted for.


Data Management (30%)

  • Enter visit data for study patients in RedCap, and other research electronic data systems in on a timely manner.
  • Update OnCore with current participant and study status, adding new participants to OnCore after obtaining consent.
  • Use Epic and ICTR to schedule and keep track task of patients visits.
  • QC study data entry to ensure the team maintains high quality data. Work with study monitors to resolve data queries.
  • Provide general office support, including filing and record-keeping, and other duties as assigned based on the needs of the research program.


Additional Skills, Knowledge, and Abilities

  • Ability to work well with families and patients/research subjects.
  • Documentation of completion of HIPAA and research subject protection education required.
  • Proficiency with MS Office software and EPIC electronic medical record system preferred.


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Two years related experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Bachelor’s Degree.

Starting Salary Range: $15.70 - $26.25 HRLY ($45,000 targeted; Commensurate with experience) 
Employee group: Full Time 
Schedule: 40 hrs/week/Monday-Friday 8:30-5
