The Collections Maintenance Supervisor will work closely with the Library Acquisitions Manager and be responsible for Library stacks and resources maintenance, Library resources acquisition processing, assisting with ILL processing, and student worker supervision.

Duty/Responsibility

  • Collection Management – Responsible for stack maintenance of all materials including monographic and non-monographic (books, journals, newspapers, film/fiche, DVD, CD, music scores, etc). Knowledge of library collection procedures, shifting materials as required to accommodate collection space needs. Main contact for deselection process, works with individual librarian liaisons for monographic deselection. Process and distribute a variety of library materials which includes transporting library materials among various locations; prepare materials for circulation.
  • Collection maintenance includes shelving and shelf reading. Maintains “new book/browsing” sections. Creates lists, pulls books, inventories, and re-processes books as needed. Handles unwanted library materials and gifts. Searches for missing books and consults with librarian for further action. Notifies librarian when rare items are recognized in circulating collection for relocation to Special Collections. Notifies librarian when out of date items are recognized in circulating collection. Cataloging and catalog maintenance – Performs copy cataloging of library materials based on current professional standards using the OCLC WorldShare system and its utilities. May add update notes or access points. Creates item records and spine labels. Refers substandard cataloging to supervisor. Provides quality control for new items entering the collection. Exercises knowledge of library management system (ILS) workflows.
  • Acquisitions and Receiving – Responsible for the acquisitions lifecycle, from ordering resources selected by librarians, to receiving and preparing resources for public use. Places orders and acquires bibliographic records (EOCRs) from monograph vendor (Gobi), following internal accounting procedures. Ensures duplicate orders are avoided. Responsible for physically processing all incoming library materials, from shipping cartons to the shelf, preparing them for public use, following retention guidelines as applicable for certain types of materials. Troubleshoot acquisitions-related problems with vendors. Keeps track of titles requested by specific patrons or for course reserves; places books on hold and notifies patron.
  • Student worker supervisor – Hires, supervises and trains student workers to perform shelving and shifting of materials, process mail, assign duties, and evaluate student assistants. Performs payroll functions, approves timesheets.
  • Repair library materials – Make determinations concerning mending, binding, and shelving of books, periodicals, documents and/or other library materials and decides what method is best. Recommends replacement or binding when repair won’t work or takes too much time and selects and prepares books sent to a commercial binder. Inspects and processes books on their return. Investigates improved mending techniques.
  • Processing Interlibrary Loan – Assists Interlibrary loan coordinator and serves as a backup contact person for interlibrary loan clients, processing requests for patrons and requests from other libraries when needed.
