General Description

The Executive Director is the chief administrative and development officer of Bigfork Food Bank, Inc. The Director leads a volunteer team that gathers and stocks food, manages an efficient food distribution and works with a network of partners to provide basic food needs to the Bigfork, Montana community. The Director reports to the Board Chair and Board of Directors and is responsible for the organization’s consistent achievement of its mission and strategic objectives. The Food Bank Director is a leader that is skilled at developing people, processes, and collaboration.

Category

Executive Director / CEO This is a full-time, salaried position. The position may require as few as 20 hours per week or more than 40 in some weeks depending upon (for example) scheduled events, projects, deadlines and travel.

Specific Responsibilities

The Food Bank Director provides leadership and direction to the Food Bank operations, including food acquisition, warehousing, distribution, logistics, inventory, compliance, facilities management, food and workplace safety, and metrics. Ideally, the Food Bank Director should be responsible for the following (either directly or through delegated individuals):

Operations & Personnel Management

1. Work with the Board in partnership, to assure that the organization has a long-range strategy which achieves its mission and toward which it makes consistent and timely progress; Provide leadership in developing program, organizational and financial plans with the Board of Directors and volunteers and carry out plans and policies authorized by the Board.

2. Promote active and broad participation by volunteers in all areas of the organization's work.

3. Create, review, adjust and implement the Food Bank’s weekly schedule for purchases, acquisitions, stocking, distribution & record keeping.

4. Develop a means for addressing emergency calls.

5. Maintain official records and documents and ensure compliance with federal, state and local regulations.

6. Recruit, train, motivate and supervise volunteers and internal assistant managers, maintain and update the “org chart” of the organization; supervises designated HR and IT assistants.

7. Supervise inventory collection, management & distributions to clients, and oversee the maintenance of a database accounting for all food processed through the food bank.

8. Assure that the Food Bank’s facilities, equipment and grounds are adequately maintained.

9. Assists with and supervises data collection & entry.

10. Comply with all applicable health department & safety regulations.

11. Additional duties as assigned by the Board.

Communications & Outreach

1. Along with the board chair or other board officers, serve as the primary spokesperson for the Bigfork Food Bank, demonstrating sensitivity, diplomacy and tact. As the executive director you are the face of the Food Bank

2. Maintain a working knowledge of significant developments and trends in the field.

3. Collaborates with other area Food Banks.

4. Promote the food bank and its initiatives through relationships with the media, governmental agencies, community and corporate organization’s Foundations, donors and the public at events, local meetings and at other venues as appropriate.

5. Establish sound working relationships and cooperative relationships with community organizations, including Great Fish Challenge, Montana Food Bank Network, Bigfork Chamber of Commerce and Montana Nonprofit Association; attend meetings and events of these organizations.

6. Ensure a robust website, periodic newsletter, and annual report that summarize the organization's accomplishments and recognizes its volunteers and financial donors.

7. Maintains a relationship with the community and donors.

Budget & Finance

1. Coordinate donations and expenditures with the Food Bank’s bookkeeper

2. As a fiduciary of the Food Bank’s finances, is a member of the Food Bank’s financial committee; reviews the Treasurer’s financial reports and has a current understanding of the Food Bank’s balance sheet and periodic revenue and expense summaries. Major financial decisions are made with the Board’s guidance.

3. Authorize payment of expenditures for budgeted items and other authorized expenses.

Fund Development

1. Actively seek funding opportunities. This includes grant writing, donor interactions, financial campaign development and management. Oversee and ensure the accuracy of grant applications, proposals and reports.

2. Oversee organization and execution of special events.

3. Work closely with the Finance Committee to understand budget projections such that the fundraising plan aligns to meet those needs.

4. Develop and nurture ongoing relationships with major donors.

5. Monitor donations and provide appropriate acknowledgement to donors.

Board Relations

1. Assist the board chair in planning the agenda and materials for board meetings.

2. Initiate and collaborate with the Board in strategic planning, including short and long term goal setting and development of plans and policies.

3. Meet periodically with the Board Chair, attend all Board meetings and advise the Board on the Food Bank’s achievement of mission, policy & goals.

Application qualifications

General:

· Honesty, integrity and commitment to addressing the needs of the Bigfork community with nutritious food.

· Ability to relate effectively with donors, volunteers, community partners, the Board of Directors and the general public.

· Ability to complete work in an accurate, effective and timely manner.

· Dedication and ability to work necessary hours per week, perform physical labor as necessary and provide general leadership to the volunteer team.

Specific to Position:

· Bachelor’s degree from an accredited institution preferred OR relative management experience.

· Five years’ minimum experience in a leadership role preferred.

· Food industry management experience desirable.

· Fund-raising and nonprofit management experience desirable.

· Excellent oral and written communication skills.

· Creative problem-solver with strong organizational, analytical, planning, and management skills.

· Strong computer skills including proficient knowledge of Microsoft Office Suite and cloud-based program & database management systems.

· Excellent people management skills to supervise and motivate volunteers.

· Demonstrated experience is implementation of productivity improvements, process and quality management, performance management, metrics and development.

· Ability to lift 25-pound boxes.

Salary & Benefits

Salary and benefits will be competitive and negotiable, depending upon experience and finalized job description. The position will have a nine-month probationary period from the date of hire before becoming permanent.

About the organization

Bigfork Food Bank has a long history in Bigfork, Montana, beginning as a modest food pantry under Flathead Food Bank and progressing to its own 501(c)3 with a new building in 2015. The Food Bank has a separately retained cleaning service, an independent bookkeeper and CPA. It is supervised by a six-member Board of Directors, two of whom were prior Co-Directors of the Food Bank.

Job Type: Full-time

Pay: $65,000.00 - $75,000.00 per year
