Summary of Position

Under general supervision from the educational program coordinator, responsible for managing a variety of operational details and providing administrative support and coordination for academic departments in the Peter T. Paul College of Business and Economics. Exercise independent judgment and problem-solving skills to coordinate various administrative activities. Responsible for preparing correspondence, meeting and course materials; assist with travel arrangements and provide logistical support for department conferences and events. Utilize computer databases and applications, such as Microsoft Word, Excel, PowerPoint, Teams, and SharePoint. Manage confidential records and complex filing systems. Interpret and adapt department and University guidelines, policies and procedures.

Duty/Responsibility

Administrative Support – Manage a variety of operational details and provide administrative support for academic department chairs. Make decisions on behalf of chair within established department guidelines and policies when appropriate. Use initiative and knowledge of the departments to compose correspondence and other documents relating to administrative and general office procedures and policies. Assist as needed with expense reconciliation, facilitate/coordinate approved purchases through approved USNH channels, while maintaining a mindset of fiscal responsibility and sustainability. Responsible for scheduling appointments; arranging meetings and conferences; researching files and records; and accurately preparing correspondence, reports and other documents. Monitor due dates for recurring academic calendar events. Collect and report data regarding internal efforts and programs (e.g. external engagement tracking).

Duty/Responsibility

Course and Student Support – Responsible for preparing exams and other course materials requiring technical typing and including complex tables, charts and graphs. Work closely with faculty to anticipate and prepare course materials to meet course and faculty needs; be familiar with the course curricula and exam schedule. Provide initial assistance to students with questions regarding classes, registration, permissions, etc. using established guidelines (course catalogs, departmental and college documents and established policies and procedures). Utilize Canvas, Webcat, Webi and other software packages, as required.

Duty/Responsibility

Department and Event Support – Serve as the communications hub for the departments
by providing reception services, screening and referring calls, and disseminating information to administration, faculty, staff, students and the general public. Utilize discretion when providing responses to requests for information about department programs, activities and events. Maintain and nurture strong working relationships with the business community both nationally and internationally, as well as other universities and colleges. Work effectively with other College and campus departments. Assist with hiring, training and directing student workers. Provide logistical, planning and record-keeping support for department events (e.g., Stock Pitch competition). Secure space, equipment and food; prepare invitations, announcements, agendas, brochures and packets; purchase awards, make reservations and assist with the event as it occurs. Work closely with guest speakers and other guests to communicate event detail and assist with travel arrangements.

Duty/Responsibility

Faculty Support – Prepare manuscripts, articles and texts for publication; prepare materials in support of the promotion and tenure process; assist with making travel arrangements and preparing travel expense forms. Responsible for preparing and drafting research reports and grant proposals, which include technical and statistical typing and the use of templates that require precise and detailed work.
